General Team Assignments information

In this article, we are going to describe the main benefits which the new Team Assignment feature brings.


This is crucial that we answer the following questions: 


- Why do you want to manage teams?

- Why do you want to assign people to the team with % and time box?

- Why do you want Gantt to calculate the user available capacity based on team assignments?


Let's dive into the topic to figure everything out.



- Why do you want to manage teams?


Every Team in the company needs to be managed, so this makes total sense to find a way to manage them easily

It is essential to make sure that none of your company members is overallocated. And this is not an easy task if someone works in more than one team.  

Different teams can be spread between multiple projects which makes the process even harder.


What you need is to find an option to manage teams so all your colleagues are working efficiently and at the same time, it does not require a big additional effort from the management side.


That's why you may find useful an option to see all the team assignments from different teams and projects in one place, so you can be sure none of the resources are overallocated. 

So later you can assign an appropriate load of tasks to each assignee. 



- Why do you want to assign people to the team with % and time box? 


To make it work properly, you'll need to specify the % of the time allocation for each assignee in every team and the time period for this assignment.

This will add flexibility to both Teams and team members and it will help you to make all assignees work efficiently.


For example, if John works with 100% of his allocation in Team Alpha from April 25 till May 1, he cannot contribute to other teams in this period, as it would result in him being overallocated. 

This way you can set different % of allocation and time periods for all users and you'll be able to track their load.


- Why do you want Gantt to calculate the user available capacity based on team assignments?


On the Gantt Chart, you will see who is overallocated and when in the fast and easy way. 


The Resource view shows the % of the Allocation for each assignee, where 100% is the maximum load for a day. Everything above 100 % per day is considered over-allocation. 


As you can see in the Resource field we may notice the overallocation of some users on specific dates.

In such cases, we can either change the % of Allocation for a given user or change the time limits.

How it may look if your Teams work on 1 project only: 


As you can see there are 3 different teams, and some of the resources are working in different teams on the timeline.

And we may notice that Mark's contribution to two different teams interferes with each other from May 9 to May 11, and it results in him being overloaded so his schedule must be changed to stick to 100% max. 




Or if the same Teams work on multiple projects it is better to show them on the cross-project Gantt, where you can have all the projects with given teams on one Gantt Chart: 

Showing them like this can provide you the confidence to avoid over-allocations or fix them easily.
