How to setup Team Assignments Gantt

Previously, we've already shown how to create team-related WI types, but now we can improve the user experience by adding them to the Gantt Chart.


What is this feature about?

This feature enables you to visualize user allocations, specifically highlighting each team member’s percentage of capacity assigned to particular teams over defined periods.


Why do you need it?

It helps you monitor the capacity of teams and individual team members according to their availability, ensuring no one is overloaded and planning remains realistic.


How to configure it in the Gantt Chart?

Follow the instructions below to get started:



Create a new LiveDoc that'll hold our Gantt. Specify the WI type to load: Team and set Load children to 1, so we will see only these 2 specific WI types (Teams and Team Assignments):




Specify the Parent Role and fill the WI Type Configuration section something like below:




Select the start and end fields according to the newly created date custom fields:




Finally, choose "Assignment Allocation" in the Resource Load Calculation field:




With these configuration settings, you'll see the Gantt Chart showing Teams and Team Assignment items. Later, you can track and modify all teams and team assignments directly on the Gantt Chart.


Important:

  • Ensure that each Team Assignment work item is linked to a parent Team work item. Assignments not associated with a parent team will be ignored during calculations. 
  • Team Assignment WIs are treated in a special way by Gantt. The system automatically enforces the presence of fields required for team assignment handling, so there is no need to set those fields as required in Polarion.
