How to load User calendars into Gantt

Modified on Wed, 24 Aug, 2022 at 12:53 PM

There is one useful panel in Gantt that we like a lot - The resource view.
It actually shows the load of your team, so you can easily find who is overloaded and when. But to make this load view more realistic we need to respect both parameters: working time per day and not working days such as vacations.
Also, different assignees may have different load settings, considering 2 parameters, mentioned above.
To store this information we use Polarion Working Calendars.
The question is, is it possible to configure Nextedy GANTT to load the information from Working Calendars? We will figure it out now.

Let's see how it works based on a Gantt demo project.

For example, imagine that Steve Developer goes on vacation from 29.08 to 31.08. So we can add these days to his calendar as schedule exceptions and they will be considered as not working days on the Gantt chart.

Now we need to set the Gantt to display these changes.

  • Open Gantt Widget Parameters and find a new field called "Working Calendars".

By default, it doesn't show the user's working calendar, but we can enable it if we are going to use this function.

  • Click on "Yes" - Load User Calendars;

  • Now we can see that on these days Steve will be unavailable, and can take it into consideration while planning the workload for the team.

  • But what if on Fridays Steve works only partly? Let's change his calendar in the Administration section.

  • If we apply these changes and load Gantt once again it will show us, that now Steve is overloaded on Friday. So we need to change the estimation of his tasks, paying attention to the parameter of his regular schedule as well.

Let's also make a quick tour around this new feature.

  • Use Working Calendar defines if a working calendar is used at all. This means, that if you disable it, neither global nor user calendar will be loaded.
  • Load User Calendars defines if you will load the user's calendar (from both global and user scope).
  • Next Years to Load defines how many next years will be loaded. It could be useful to set it to 1 year or 2 if you want to track long or future tasks as well.
  • Previous Years to Load defines how many previous years will be loaded. It could be useful if you need to track long or past tasks.
